Job Summary
The Leasing Administrator will play a critical role in ensuring the smooth execution and administration of lease agreements across our diverse portfolio of tenants. The ideal candidate will have at least two years of managerial experience in leasing administration within Class A developments or retail assets, with strong attention to detail, organizational skills, and the ability to collaborate across multiple departments.
Key Responsibilities:
- Lease Agreement Management: Review and release lease agreements for tenants, ensuring that all commercial terms are accurately reflected. Input lease agreements into the leasing administration software system.
- Internal Coordination: Act as the main point of contact across departments to facilitate the execution of lease agreements, ensuring alignment between leasing, legal, finance, and property management teams.
- Lease Review & Legal Compliance: Support the leasing team by reviewing new leases, legal requirements, and ensuring compliance with all relevant laws and policies.
- Lease Renewals: Issue renewal leases according to the asset leasing strategy, ensuring timely renewals and compliance with lease terms.
- Leasing Committee Preparation: Prepare leasing cases, including new deals, renewals, and special cases, to be presented to the leasing committee.
- Leasing Reports: Prepare monthly leasing reports, including financial performance, occupancy rates, rent roll, traffic analysis, and inventory analysis.
- Tenant Data Management: Update and maintain tenant databases and files, ensuring accuracy and accessibility.
- Coordination with Finance & Legal: Work closely with the finance department to ensure compliance with lease terms, including processing monthly rent payments, tenant billing, and tracking special conditions such as notices and break clauses.
- Sales Data Management: Collect and upload sales reports from property managers into the leasing software for analysis and reporting purposes.
- Tenant Relations: Maintain good relations with both current and potential tenants, ensuring their needs are met and fostering long-term partnerships.
- Documentation: Maintain well-organized records of all leasing-related activities, ensuring proper documentation of all tasks and procedures.
Qualifications:
- Education: Bachelor’s degree in Business, or a related field (BSc/BSA).
- Experience: Minimum of 2 years of related managerial experience in leasing administration, preferably within Class A developers or retail assets.
- Skills:
- Strong understanding of lease agreements, commercial terms, and legal compliance.
- Proficient in leasing software and Microsoft Office Suite (Excel, Word, PowerPoint).
- Excellent organizational, communication, and interpersonal skills.
- Detail-oriented with the ability to manage multiple tasks simultaneously.
- Ability to work collaboratively across departments and with external stakeholders.
- Additional Qualifications:
- Knowledge of leasing and property management regulations and practices is preferred.
- Ability to work under pressure and meet deadlines.
- Strong analytical skills and the ability to generate reports from various data sources.
